The Background

The Society for Classical Learning’s 2025 Summer Conference, held at the Gaylord Texan Resort in Grapevine, Texas, brought together more than 1,500 attendees for a multi-day national event. SCL had a strong internal team and a clear vision for the conference, but like many growing organizations, they were operating with a relatively small staff of roughly 10–12 employees while managing an event at a much larger scale.

The Challenge

SCL needed experienced production leadership to help translate vision into execution. Mainstage production at this scale required more than a schedule. It involved speaker preparation, script refinement, timing, A/V coordination, vendor communication, rehearsals, backstage direction, and the ability to keep everything moving smoothly in real time. Without that support, even a strong event can create unnecessary strain for an already stretched team.

Our Approach

Echo + Ember stepped in to provide experienced production leadership shaped by a background in TED-style event environments, where pacing, clarity, rehearsal, and audience experience are critical. We drafted scripts, edited speaker scripts, created the run of show, and led a speaker training workshop to coach presenters through the demands of speaking on stage. We also coordinated A/V setup and vendor logistics, assisted with stage and room design, directed dress rehearsals, and served as Producer and Director during the event itself.

The conference delivered a polished and well-orchestrated mainstage experience for more than 1,500 attendees. Speakers were better prepared, production elements were more tightly coordinated, and SCL’s internal team was able to operate with greater clarity and support during a large-scale event.
